I'm a quality and brand compliance manager at a medical device distributor. I review every device packet before it reaches customers—roughly 200 items per quarter. In 2024, I rejected 17% of first deliveries because the documentation didn't match the label, the manual revision was stale, or the so-called compatible part was not compatible at all.

This checklist is for small clinics, independent repair shops, and first-time buyers who don't have a full regulatory department. The 8-Step Medical Device Sourcing Checklist

1. Define the exact device, accessory, or document

Never buy a category. Buy a part number. A CT scan machine is not one SKU; it is a system with a gantry, tube, detector, software version, and service history. A pacemaker may mean an implantable pulse generator, a programmer, or leads—three different regulatory paths. A surgical stapler may be open, endoscopic, linear, circular, or powered, and the reload is usually a separate item.

For a Permobil F5 manual, define the model year, serial range, and language. Permobil has multiple F5 configurations, and a manual for one serial range may not cover another. Checkpoint: write one sentence that includes manufacturer, model, part number, revision, and quantity.

2. Verify the manufacturer and brand assets—especially the Permobil logo

Brand marks are not decoration. They are a quality signal. In our Q1 2024 quality audit, we checked 40 Permobil-compatible battery labels. Six had a Permobil logo with the wrong font weight on the wordmark. The vendor said it was 'within industry standard.' We rejected the batch, and they redid the labels at their cost. Now every contract includes a brand-asset requirement.

The same logic applies to a CT scan machine, pacemaker, and surgical stapler. Compare the label to the manufacturer's official examples. Look for the legal manufacturer name, country of origin, and authorized representative. A logo alone proves nothing.

3. Match the correct manual to the exact model

Manuals change. A Permobil F5 manual from three years ago may show an older battery connector or a different torque specification. According to Permobil (permobil.com), manuals are model- and configuration-specific. Always download the current revision for your serial number, and keep a PDF with the purchase order.

For other devices, ask for the service manual, user manual, and software release notes. If the supplier cannot tell you the revision date, that is a red flag. If they send a generic PDF labeled 'medical device manual,' stop.

4. Check regulatory clearance and quality certification

According to FDA (fda.gov), most medical devices require clearance or approval before U.S. marketing. A pacemaker is generally a Class III device with a PMA. A CT scan machine and a surgical stapler typically follow the 510(k) pathway, though configurations vary. Permobil power wheelchairs are Class II devices.

Ask for the FDA establishment registration, device listing, and 510(k) or PMA number. For international orders, check CE marking and ISO 13485 certification. ISO 13485 is the medical device quality management standard. A certificate is not a substitute for local clearance, but it tells you the supplier has a quality system.

5. Confirm UDI, serial/lot, and traceability

According to FDA (fda.gov), the Unique Device Identification system requires most medical devices to bear a UDI on the label and package. The UDI has a device identifier and a production identifier. For a pacemaker, traceability is critical. For a CT scan machine tube, record the lot. For a Permobil battery, record the serial.

Checkpoint: can you trace the item back to the manufacturer and forward to the patient or asset? If not, quarantine it. In my experience, missing UDI is one of the most common reasons small buyers get stuck with unusable inventory.

6. Ask about compatibility, consumables, and software before you pay

'Compatible' is a marketing word. Get a written compatibility statement with model numbers. A Permobil F5 manual may list approved batteries and chargers; a CT scan machine may need a specific tube and calibration kit; a pacemaker may need a programmer with a specific software version; a surgical stapler may need a specific reload.

I assumed 'F5 compatible' meant plug-and-play. I didn't verify. It turned out the connector was for an older model. We ate return shipping and lost a week. That was a $600 mistake on a $1,200 order. The lesson: never assume compatibility. Get it in writing.

7. Vet the supplier for small-order friendliness

Ask for a sample documentation packet: label photo, manual revision, UDI, and regulatory certificate. If they refuse because your order is small, that is useful information. The best suppliers answer the same questions for a $200 order as they do for a $20,000 order.

Small doesn't mean unimportant. It means potential. A clinic testing one pacemaker programmer or one surgical stapler reload today may standardize across a network tomorrow. In my opinion, a supplier that ignores small buyers is not a long-term partner.

8. Do receiving inspection and document everything

When the box arrives, compare the label to the purchase order. Check the seal, damage, and manual revision. Photograph everything. Log the UDI or serial in your asset system. If anything mismatches, quarantine it and contact the supplier before using it.

One of my biggest regrets: not photographing a vendor's verbal promise on a CT scan machine tube lead time. When it missed, we had no leverage. The delay cost us a $22,000 service credit. Now every phone call ends with an email summary.

Common Mistakes and Red Flags

  • Trusting a logo. A Permobil logo can be copied. Verify the label, UDI, and authorized distributor.
  • Using the wrong manual. A Permobil F5 manual for the wrong serial range can lead to wrong battery coding.
  • Assuming clearance covers every configuration. A CT scan machine accessory may have its own 510(k).
  • Ignoring traceability. A pacemaker is not a generic part. It needs a tight audit trail.

Prices and lead times vary by supplier, specification, and date. Verify current rates and availability before you commit. And if you are a small buyer, remember: a good supplier will not make you feel small.
